The U.S. Embassy in Jakarta and U.S. Consulate General in Surabaya is seeking an individual for the position of Shipping Assistant/Chauffeur in the Overseas Building Operations (OBO) office and Protocol/Administrative Assistant. The U.S. Embassy in Jakarta is seeking individuals for the positions of:


Shipping Assistant/Chauffeur - Jakarta

Basic Function of Position
  • The incumbent responsible to facilitate the importation, free entry, customs clearance, release and delivery of OBO and Contractor air and sea official shipments to post in support of multi-million dollar construction contracts at the projects. S/He operates motor vehicles to transport personnel, official visitors, cargo, or documents within the city and surrounding area.  Maintains vehicle in clean and serviceable condition and purchases fuel for all project vehicles.  Completes daily vehicle logs and accounts for all gas expended. Overtime and weekend work will be required.
Qualifications Required

  • Completion a College Degree in Business Administration, Social Science or Finance, International Relations or Construction related degree is required.
  • Minimum three years progressive experience in managing logistics, freight forwarding, and customs clearance is required.
  • Level IV (fluent) speaking/reading/writing both in English and Bahasa Indonesia are required. Language proficiency will be tested.
  • Must be familiar with the Indonesian government’s policies and diplomatic privileges, Indonesian Customs and Traffic Code, Customs requirements and procedure for importation and exportation of goods shipments. Familiarity with local traffic laws and patterns.  Must know and be able to navigate to commonly known places of interest such as main government buildings and hotels, main road intersections, main common tourist points of interest.
  • Must have good organizational and interpersonal skills. Must be tactful, yet effective, in dealing with host country Customs, immigration, border and other officials, and with officials of shipping, packing, and transfer companies. Ability to negotiate best prices and services. Must have a valid driver's license (SIM A) – A copy must be attached to applications.
  • Must have Strong knowledge of all office computer applications, specifically word processing, spreadsheet applications, slide presentation and emails.
  • Salary: ordinarily resident Rp. 69,275,463- p.a.

Protocol/Administrative Assistant - Surabaya
Basic Function of Position
  • The incumbent effectively oversees the post personnel management program for Locally Employed Staff (LES) as well as provides guidance/instruction for the Summer Hire Program and Eligible Family Member employment through Human Resources Office Jakarta. S/He serves as a Post’s protocol chief and provides administrative assistance for all VIP visits to post. S/He oversees Consulate General’s Time & Attendance reports for LES and American officers, supervises the post administrative clerk, and delegates appropriate tasks, which are under her/his overall supervision.
    Qualifications Required

  • Bachelor’s degree in English, Administration, Management, Public relations or related fields is required.
  • At least three years experience working for an international corporation, NGO or local government entity in the field of management or equivalent experience is required.
  • Level 4 (Fluent) Speaking/Reading/Writing English and Bahasa Indonesia are required. Language proficiency will be tested.
  • Knowledge of the following is essential in order to perform all aspects of incumbent’s portfolio: (a) good understanding of HR-related regulations, policies and procedures to support the job function as post’s first point of contact for general HR/admin issues, (b) key government of Indonesia officials located throughout consular district, (c) key business and political community leaders, (d) key hotel personnel essential when planning official events/programs, (e) knowledge of travel regulations and (f) knowledge of preparing official documents and correspondence.
  • Ability to work independently, to organize official events, and to support myriad administrative issues. Must possess good interpersonal, organizational and managerial skills.
  • Must master use of standard office equipments (computers, calculators, scanners and faxes), and office computer application skills.
